{"id":1960919,"date":"2024-07-23T00:42:44","date_gmt":"2024-07-23T04:42:44","guid":{"rendered":"https:\/\/staging.theeventscalendar.com\/knowledgebase\/?p=1960919"},"modified":"2025-05-15T12:01:34","modified_gmt":"2025-05-15T16:01:34","slug":"canceling-relocating-postponing-events-legacy","status":"publish","type":"post","link":"https:\/\/staging.theeventscalendar.com\/knowledgebase\/canceling-relocating-postponing-events-legacy\/","title":{"rendered":"Canceling, Relocating, Moving Online, and Postponing Events"},"content":{"rendered":"\n<p>Whether canceling, postponing, or moving your event from a physical venue to an online one \u2013for private, public, or governmental reasons\u2013here are some ideas to help you effectively handle such an unfortunate situation.<\/p>\n\n\n\n<p>We know you put effort into each one of your events so it might be tempting <em>in the moment<\/em> to unpublish or even delete a canceled event, but you probably shouldn&#8217;t instantly undo your hard work, as it could cause you more headaches. People have already visited this single event&#8217;s page, bookmarked its URL, and shared it on social, email, and text.<\/p>\n\n\n\n<p>Your visitors might come back to check for updated information, and you can help them while benefiting yourself: let them know it&#8217;s canceled, rescheduled, relocated, and\/or suggest an alternative event on your site or another&#8217;s.<\/p>\n\n\n\n<p>If rescheduled, you might want to simply change the event&#8217;s start and end date\/times and add a message to the start of the Event Description that this is the rescheduled time \u2013 don&#8217;t forget to mention the originally-scheduled date\/time, at least for a long enough time period.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-display-a-calendar-notice\">Display a Calendar Notice<\/h2>\n\n\n\n<p>The easiest, simplest way to display something noticeable is to add a message to the top of each canceled event. You can add an event status to your event using The Events Calendar with the option in the right-hand sidebar. There&#8217;s also a &#8220;Moved Online&#8221; option, which is only available with our <a href=\"https:\/\/theeventscalendar.com\/products\/wordpress-virtual-events\/\" target=\"_blank\" rel=\"noreferrer noopener\">Virtual Events<\/a> plugin.<\/p>\n\n\n\n<p>When editing a community-submitted event, with our <a href=\"https:\/\/theeventscalendar.com\/products\/community-events\/\" target=\"_blank\" rel=\"noreferrer noopener\">Community Events<\/a> plugin, you will see the event status options (canceled, scheduled, postponed) in the right-hand sidebar as well.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/images.theeventscalendar.com\/kb\/uploads\/2020\/03\/ext-event-status-postponed.png\" alt=\"Event Status marked as postponed\" class=\"wp-image-1946985\"\/><\/figure>\n\n\n\n<p>Chances are you might also want to display a notice on the calendar itself. Use the &#8220;Add HTML before calendar&#8221; option in the calendar&#8217;s Advanced Template Settings, located in WordPress at <strong>Events \u2192 Settings \u2192 Display<\/strong>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-hide-canceled-events\"><strong>Hide Canceled Events<\/strong><\/h2>\n\n\n\n<p>If you prefer not to display canceled events on your calendar views, you can easily hide them. On the <strong>edit event<\/strong> screen in the WordPress admin, scroll down to the <strong>Event Options<\/strong> section and check the <strong>&#8220;Hide From Event Listings&#8221;<\/strong> box. This will exclude the event from calendar views while still keeping it accessible via a direct link. Be in communication early and often, as appropriate, including notifying them the event has been relocated (such as to online-only) or recommending an alternative event (such as in the future).
