Sometimes we call those webinars. Other times, they&#8217;re called virtual events, online conferences, or even hybrid events. Whatever you call it, <a href=\"https:\/\/theeventscalendar.com\/products\/wordpress-events-calendar\/\" target=\"_blank\" rel=\"noreferrer noopener\">The Events Calendar<\/a> supports events that are hosted online.<\/p>\n\n\n\n<p>There are a few things you can do with The Events Calendar and the <a href=\"https:\/\/staging.theeventscalendar.com\/knowledgebase\/k\/creating-a-virtual-event\/\" target=\"_blank\" rel=\"noreferrer noopener\">Virtual Events add-on<\/a> to host the perfect online event. Here&#8217;s how it works.<\/p>\n\n\n\n<p>Below, we\u2019ll walk through the steps for organizing your calendar to highlight and promote your virtual and hybrid events.<\/p>\n\n\n\n<p>Here are the tools you\u2019ll need to make this workflow smooth on a WordPress site:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/theeventscalendar.com\/products\/wordpress-events-calendar\/\" target=\"_blank\" rel=\"noreferrer noopener\">The Events Calendar<\/a>&nbsp;(Free)<\/li>\n\n\n\n<li><a href=\"https:\/\/theeventscalendar.com\/products\/wordpress-event-tickets\/\" target=\"_blank\" rel=\"noreferrer noopener\">Event Tickets<\/a>&nbsp;(Free)<\/li>\n\n\n\n<li><a href=\"https:\/\/theeventscalendar.com\/products\/wordpress-events-calendar\/\">Events Calendar Pro<\/a> (Premium)<\/li>\n\n\n\n<li><a href=\"https:\/\/theeventscalendar.com\/product\/promoter\/\" target=\"_blank\" rel=\"noreferrer noopener\">Promoter for The Events Calendar<\/a>&nbsp;(Premium)<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-the-foundation\">The Foundation<\/h2>\n\n\n\n<p>Just to reiterate: We\u2019re about to go through the calendaring workflow using WordPress plugins on a WordPress site, so you\u2019ll want to be on WordPress as well.<\/p>\n\n\n\n<p>First, we\u2019re going to set up our calendar for virtual and hybrid events using all the tools in the&nbsp;<a href=\"https:\/\/theeventscalendar.com\/bundles\/virtual-event-marketing-bundle\/\" target=\"_blank\" rel=\"noreferrer noopener\">Virtual Event Marketing Bundle<\/a>&nbsp;(if you\u2019re looking to use all the tools in this setup, you can save quite a bit by purchasing a bundle instead of individual plugins).<\/p>\n\n\n\n<p>Upon installing The Events Calendar, you\u2019ll be able to add events or use the importer tool to upload a .csv file of your existing events.<\/p>\n\n\n\n<p>Since we\u2019re using both Event Tickets and the Virtual Events add-on in our calendar setup, let\u2019s take a look at how to set up ticketed virtual events.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-adding-an-rsvp-to-a-virtual-or-hybrid-event\">Adding an RSVP to a virtual or hybrid event<\/h2>\n\n\n\n<p>With the Event Tickets plugin, we can technically add an RSVP or ticket sales to any page on our site. But since we\u2019re using Event Tickets in conjunction with The Events Calendar, we\u2019re going to add tickets to the virtual or hybrid event we\u2019re creating on the calendar.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter\"><img decoding=\"async\" src=\"https:\/\/images.theeventscalendar.com\/kb\/uploads\/2020\/06\/ezgif.com-optimize-5.gif\" alt=\"\" class=\"wp-image-2140666\"\/><\/figure><\/div>\n\n\n<h2 class=\"wp-block-heading\" id=\"h-using-a-protected-link-for-livestream\">Using a protected link for livestream<\/h2>\n\n\n\n<p>Let\u2019s say you don\u2019t want to publish the link to your livestream publicly because of privacy issues. Let\u2019s also assume that you\u2019re hosting a free event but you want to gather email addresses to build your mailing list.<\/p>\n\n\n\n<p>Using the Virtual Events add-on, you can authorize your <a href=\"https:\/\/staging.theeventscalendar.com\/knowledgebase\/k\/connecting-to-zoom\/\" target=\"_blank\" rel=\"noreferrer noopener\">Zoom<\/a> account to automatically generate Zoom links right from your WordPress dashboard. After setting up the livestream link with one click, adjust your settings so that the Zoom link isn\u2019t public. Your attendees will only receive the Zoom link via email sent automatically by the Event Tickets plugin. You can apply the same principle to the other available video sources, which include <a href=\"https:\/\/staging.theeventscalendar.com\/knowledgebase\/k\/connecting-to-youtube-live\/\" target=\"_blank\" rel=\"noreferrer noopener\">YouTube Live<\/a>, <a href=\"https:\/\/staging.theeventscalendar.com\/knowledgebase\/k\/connecting-to-facebook\/\" target=\"_blank\" rel=\"noreferrer noopener\">Facebook Live<\/a>, <a href=\"https:\/\/staging.theeventscalendar.com\/knowledgebase\/k\/connecting-to-webex\/\" target=\"_blank\" rel=\"noreferrer noopener\">Webex<\/a>, and <a href=\"https:\/\/staging.theeventscalendar.com\/knowledgebase\/k\/connecting-to-google-meet\/\" target=\"_blank\" rel=\"noreferrer noopener\">Google Meet<\/a>.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter\"><img decoding=\"async\" src=\"https:\/\/images.theeventscalendar.com\/kb\/uploads\/2020\/06\/virtual-events-tec3.gif\" alt=\"\" class=\"wp-image-2140661\"\/><\/figure><\/div>\n\n\n<h2 class=\"wp-block-heading\" id=\"h-embedding-a-livestream-in-the-event-page\">Embedding a livestream in the event page<\/h2>\n\n\n\n<p>Alternatively, you could choose to host a scheduled livestream instead of including a link to the meeting. In order to keep your audience on your website throughout the livestream, the Virtual Events add-on allows you to embed a livestream link from YouTube and other sources. You also have the option to hide the embedded livestream on the event page until the event is scheduled to start.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-using-promoter-for-automated-reminder-and-thank-you-emails\">Using Promoter for automated reminder and thank-you emails<\/h2>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter\"><img decoding=\"async\" src=\"https:\/\/images.theeventscalendar.com\/kb\/uploads\/2020\/06\/promoter-shortcuts.gif\" alt=\"\" class=\"wp-image-2140669\"\/><\/figure><\/div>\n\n\n<p>The reminder email is&nbsp;<a href=\"https:\/\/theeventscalendar.com\/blog\/event-management\/critical-attendee-emails-for-every-event\/\" target=\"_blank\" rel=\"noreferrer noopener\">one of the most important emails<\/a>&nbsp;in the lifecycle of virtual events. These days, people are more inundated than ever with virtual and hybrid event invitations, so we recommend sending two reminders for those events: A reminder two days before and a last-minute reminder 30 minutes before the event.<\/p>\n\n\n\n<p>Using Promoter shortcuts, you can schedule the emails to send automatically at the appropriate times.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-using-virtual-venues\">Using virtual venues<\/h2>\n\n\n\n<p>Every event takes place at a location, right? The same is true of an online event, even if we&#8217;re not talking about a physical address.<\/p>\n\n\n\n<p>The Events Calendar already supports saved venues. This means you create a venue once and are able to re-use it on other events. If you are using Events Calendar Pro with The Events Calendar, then <a href=\"https:\/\/staging.theeventscalendar.com\/knowledgebase\/k\/venue-and-organizer-pages\/\" target=\"_blank\" rel=\"noreferrer noopener\">pages are created for those venues<\/a>. This is a great way to group together events that take place at the same location.<\/p>\n\n\n\n<p>Let&#8217;s say we create a &#8220;Webinars&#8221; venue. Like venues, we can create an &#8220;Online Events&#8221; category to group online events together.
